1) Why is ASRC Federal rolling out a Compliance Program now?

A new Federal Acquisition Regulation (FAR) PART 3.10 came into effect on December 24, 2007, requiring companies with government contracts valued at over $5 million to implement a formal ethics and compliance program. This program includes the implementation of:

  • A written code of business ethics and conduct (Standards of Ethics and Business Conduct),

  • An ethics awareness program,

  • An ethics hotline for reporting violations, and

  • Internal control systems to monitor compliance.

 

2) Why is an Ethical Workplace important?

If we are conducting business appropriately:

  • We maintain the confidence of our partners, clients, and vendors, thereby ensuring an ongoing trustworthy relationship

  • We never lose a contract due to unethical behavior

An ethical violation could cause major damage to the company reputation, jeopardize our current contracts, and affect our ability to win future work.

 

3) Does the Standards of Ethics and Business Conduct contain any new regulations?

The Standards of Ethics and Business Conduct is an umbrella document based on a subset of existing ASRC Federal policies and procedures.  The new elements of the compliance program are the formal code, the hotline, an ethics awareness program, and internal monitoring program.

 

4) Why do ALL employees have to sign a certification?

The company’s business depends on its reputation for integrity, trust and confidence.  In today’s increasingly transparent business world, how we do things is just as important as what we do.  Signing this document certifies your understanding of the company policies and the commitment to comply with them.


5) When would I call the Ethics Hotline?

The purpose of the ethics hotline is to provide ASRC Federal Holding Company (ASRC Federal) employees with a confidential alternative for reporting suspected unethical or inappropriate activity.  These activities may be associated with fraud, abuse, violations of federal or state laws, or ASRC Federal policies.  While you are encouraged to report these issues directly to your immediate supervisor or your management chain of command, ASRC Federal recognizes this will not always be an option and has made the ethics hotline available for this reason.

You should call the hotline in the following instances:

  • Questionable accounting or auditing issues

  • Time or expense abuses

  • Conflicts of interest

  • Kickbacks

  • Discrimination

  • Computer security violations

  • Violations of federal, state, and ASRC Federal policy

You should NOT call the hotline in these instances:

  • Complaints concerning wages and hours

  • Grievances concerning performance evaluations or merit increases

 

6) Why should I report a suspected violation?

We all have the right to work in an environment where all employees comply with company policies and procedures. And with that right, comes the responsibility to act in an ethical manner and to inform appropriate individuals if someone is not acting appropriately. The misconduct on the part of a single employee can threaten the livelihood of an entire company.

 

7) Am I required to identify myself when reporting a violation via the Hotline?

No. When reporting a violation via the hotline you may choose to be anonymous. 

 

8) Will I be subjected to diciplinary actions if I report a suspected violation which turns out not to be an actual violation?

No.  If you, in good faith, report a suspected violation which turns out to be false, you will not be subjected to any type of disciplinary action.

 

9) Will I be protected from retaliation if I report a suspected violation?

Yes.  All employees who in good faith report suspected violations or other wrongdoing will be protected from retaliation.  No employee will be permitted to take any retaliatory action against any other employee who reports suspected violations or wrongdoing.  

 

10) What if I'm not sure if a violation has been committed?

Always review the pertinent company policies, and then consult your manager or a member of the compliance team for further guidance.
